LINE OF RESPONSIBILITY: The School-Based Programs Administrative Assistant reports to the School-Based Programs Director regarding program operations and administrative matters. The School-Based Programs Administrative Assistant will support all school-based programs including medical, dental, optometry, behavioral health, and nutrition. The School-Based Programs Administrative Assistant participates as a contributing member of the Gateway Health Advisory Committee.PURPOSE: To provide administrative and clerical support to the school-based health center, and to improve patient care and outcomes in the community. RESPONSIBILITIES: The School-Based Programs Administrative Assistant must be versatile and will include clerical and administrative duties for all programs including medical, behavioral health, nutrition, and optometry. Responsible for client registration, scanning, insurance verification, appointment scheduling, referrals, communication with parents, teachers and/or school administrators; and clerical support for all school-based programs. They will often be the first SBHC staff person that the student will encounter and must be informed about all SBHC services offered. Attend training by MDPH, as required. Training and working with electronic medical and dental programs. Set up zoom appointments and tablets for telehealth and/or walking to retrieve students at other schools on campus for providers. Assist with MDPH reporting and data collection Set up tablets for student prior to medical visits and help students with questionnaires as needed in the APEX hub. Maintain strict confidentiality of the programs and patient information. Keep minutes of meetings typed and distribute them after each meeting. Set up quarterly Health Advisory meetings with school personnel and SBHC staff at the beginning of each year. Act as the courier between SBHC and HHC daily if necessary to deliver lab specimens and interoffice correspondence. Other responsibilities as negotiated with the supervisor QUALIFICATIONS: Required: ability to maintain strict confidentiality in accordance with HIPAA and HCHC policy, highly organized, basic computer skills, excellent communication, and customer service skillsPreferred: experience in a medical office setting or school setting, bilingual, culturally competent COVID Safety Measures: All employees are required to be fully vaccinated against COVID-19, including the first booster dose. All staff are required to wear masks while on-site, unless in an isolated space or actively eating or drinking.
